Resolving HRIS sync issues
This page summarises some of the common issues that can occur during a HRIS sync, how to find them and fix them.
List the issues
If there are errors in the most recent HRIS sync, you will a small message on your “People” page on the top right corner where you see the status of the most recent sync.
On the issues list page, you will see issues grouped by the hour in which they occurred. You can click on a issue to see more information about the data we receive from HRIS and what the error is and which employee the error is for.
Common issues
There can be different reasons for issues. We summarise the most common issues and potential resolutions below
Employee updation failed
During a sync, when an employee on Zavvy to connected to an employee on HRIS, Zavvy updates the employee data from HRIS. While doing so, if updating the employee fails, you will see this error.
Some of the common reasons are:
- Validation of email failed
- If the email addresses (work/private) are updated on HRIS to a different email, Zavvy will attempt to set the new email addresses on the employee. If any of the emails are already in use by a different employee on Zavvy, the update cannot proceed.
- Possible resolution:
- Disconnect the HRIS connection on both employees on Zavvy**.**
- Correct emails of both employees on Zavvy.
- If these employees are duplicate employees, you can do one of the following:
- delete one of the duplicate from Zavvy, or
- change the email (for one the duplicate) to an arbitrary email, if you like to keep them on Zavvy but not connect to HRIS.
- Correct the emails on HRIS for both employees if necessary******************************.******************************
- Re-trigger sync on Zavvy — Zavvy will automatically connect the employees with HRIS by matching their emails.
Employee creation failed
During a sync, when a new employee is found on HRIS and this employee is not on Zavvy, a new employee will be created on Zavvy. While doing so, if creating the employee fails, you will see this error.
Some of the common reasons are:
- Validation of email failed
- If the work or private email address of the new HRIS employee is already in use by another existing employee on Zavvy.
- Possible resolution:
- Disconnect the HRIS connection on the existing employee on Zavvy**.**
- Correct emails of the existing employee on Zavvy so that there are not conflicts with the HRIS data.
- If these employees are duplicate employees, you can do one of the following:
- delete one of the duplicate employee Zavvy, or
- change their email to an arbitrary email, if you like to keep them on Zavvy but not connect to HRIS.
- Correct the email on HRIS if necessary******************************.******************************
