Manage HRIS sync for an employee

In this page, you will learn how to manage HRIS sync and connection for an employee.

Show HRIS connections for an employee

To see all the HRIS connection of an employee, navigate to your people table and click on the employee name to open their profile. Once on their profile, click on the dotted menu on the top right to access HRIS connections.

On this page, you will see all the HRIS connections for an employee. You will see the following columns:

External source

This is the name of your HRIS.

External ID

When you integrate a HRIS, Zavvy will match all the employees on Zavvy to those on your HRIS using their emails and create an "External ID". This External ID is the ID of the employee in your HRIS. Once the External ID is set on an employee on Zavvy, this employee is now connected to HRIS.

For the next syncs, Zavvy will:

  1. Keep connected employees up-to-date: Zavvy will update their data to match the HRIS data.
  2. Connect employees that are not yet connected: If there are employees that are added to Zavvy manually, they will be connected to their HRIS record by matching the HRIS employee and Zavvy employee using their emails.
  3. Add new employees to Zavvy: Zavvy will add new employees that are in HRIS but not yet on Zavvy, and connect them to HRIS to keep their data up-to-date in the future.

Used in sync

When the connection is used to keep the user in sync. See “Disable syncing an employee” section to know more about this.

Actions

Actions that can be performed on this

Disable syncing an employee

When a connection to HRIS is created for an employee, it will be used by default to keep the employee in sync with HRIS data.

If you want to keep the employee connected to HRIS but disable updates from HRIS, you can toggle the button to the "off" position. You can turn sync on and off anytime, and this will take effect for all future syncs with that HRIS connection.

Disconnect a HRIS connection

Disconnect a HRIS connection using the “disconnect” button in the table.

❗ Please note that a disconnected employee will be re-connected to HRIS, when the sync runs next time, based on email matching. If you just want to not sync this user, consider disabling the sync for the connection instead of disconnecting it.

Multiple connections from the same External source

It is possible that you see multiple connections from the same External source for an employee. However, you might notice that the External IDs are probably different.

This can happen in cases where the employee if connected to a HRIS employee initially based on email matching and later another HRIS employee is added to your HRIS matching the work or private email of the same employee. These cases can lead to unexpected updates on the employee on Zavvy because two HRIS connections are trying to keep the data up-to-date. In such cases, you might want to considering disabling the sync for one of the connections or disconnecting the connection.
