How to run a performance review in 6 steps

Prerequisite: Assign yourself a manager

Before you follow the steps in the video, make sure all people you would like to participate in the feedback review (incl. yourself) have a manager assigned on Zavvy.

Here’s how: Assign managers & buddies

Step 1: Go to feedback and create a new cycle from a template

Head to the Feedback page and find the templates for feedback cycles.

Step 2: Select a template

We suggest you to get started with a simple 360° Review.

Step 3: Edit the title and description

Step 4: Review your feedback types and forms

On Feedback types, you can see all the feedback types included in the cycle. For a 360° review, you will have all four types (self, peer, downward, and upward) included.

Next, you can edit the forms for each feedback type. For that, click on the respective feedback type you’d like to edit in the left-side navigation.

First, you can edit the questions. For that click on the “edit the form” on each feedback type.

You can edit the questions by clicking on them. Here you can adjust rating scales, add a comment, or even link questions to your people’s career paths. To edit a question just click on it.

Second, you can edit the anonymity settings of each form. Here you can decide whether or not the results are shared along with the name of the person. Depending on the feedback type, you can make it anonymous for the manager or the reviewees themselves. Admins will always see the feedback.

Step 4: Design reviewer experience

Here you can decide whether you want to:

1. Show people who can see their responses while filling out the feedback

2. If you enable it, people will see a small information on who will see their responses.

3. Show an additional context panel to the reviewer while they are filling out the form. The context panel will show the career path of the person, or their personal growth plan, depending on what features you use on Zavvy.

4. We advise doing so, because, with more context, people can give more relevant feedback. No worries if you don’t use career paths or growth plans yet. In that case, we will just not show the context panel.

Step 5: Set the start date of the cycle

As you’re testing the review we suggest you use the option to assign on a specific date. Here you just select the day and time you want your review to start and the group of participants you want to kick it off for.

Before you can assign people to the cycle they need to be part of a group.

The two other options allow you to dynamically kick off feedback cycles for individual people based on events, such as their start date or if they’re joining a group (e.g., a department or a location).

Step 6: Kick it off

Simply activate the review by clicking “activate the cycle”.

❗ After you activate the cycle it will be scheduled to the date and time you selected. Only once the scheduled time has arrived, the reviewees will be assigned their tasks. So now you can sit back and wait until it comes in
