Why tasks?

Tasks help you to keep track of all to-do’s for the HR team, the new hire, the new hire’s manager, the IT department, or any other stakeholder involved in your Onboarding process in one place. No more checking off rows in ugly spreadsheets, setting up checklists in project management tools like Notion or Asana, or sending PDF checklists via Email or Slack.

Zavvy’s task step  allows you to create, assign, manage, and track tasks for all onboarding stakeholders including your own for the HR. Zavvy will automatically assign every stakeholder their respective tasks relative to the new journey start date.

Create tasks for your Onboarding process

Step 1: Create tasks-step

Add step called “task” in the dropdown in the journey builder.

Step 2: Add title, message, and tasks to step.

Give your step a title, message and add the tasks want the recipient to complete.

The message along with a link to the tasks will be delivered via E-Mail, Slack or Teams.

Adding links to a task

Just add the link in the task. You can also add text next to it. The link will be clickable.

Formatted hyperlinks are currently not possible.

Assigning tasks

Once you’ve added all the tasks and are ready with your journey, you can assign the it. The tasks will be automatically sent to the assignee on the days you specified.

Receiving task-steps

The recipients receive a notification prompting them to complete their tasks. The notification directs them to their Home Dashboard, where they can see all open tasks.

Tracking Task completion

To keep track of whether your new hires, their managers, or any other involved stakeholder completed their onboarding tasks you can check the assignment detail view and the insights tab.

Task completion for a specific new hire

Go to Assign > All employees currently assigned > click on a person and check the status of all Onboarding tasks for that new hire, their manager, or any other stakeholder involved in the new hire’s Onboarding.

Clicking on one of the task steps, you can see which tasks of the step are already complete.

Task completion across all new hires

Check out the Insights > Tasks view. Here you can see all open tasks and filter by new hire, date range, and task status.

If you click on one of the tasks you will see how many of the tasks are completed. (grey = not completed, purple = completed)
